Your Account

Your account settings live behind your name at the top right of every screen. This page covers everything you can change about yourself.

Click your name and email address at the top right. A short menu drops down.

There are exactly two choices: Profile and Log out.

Click Profile to open Profile Settings.

There are two sections, listed on the left: Profile and Password.

Under Profile Information you can change three things.

Your photo. Click Change Avatar and choose a picture from your device. It accepts JPG, PNG and GIF files up to 2MB. A square photo works best, because the system displays it in a circle — anything else gets cropped to fit. If you never set one, a plain grey silhouette is used, which is perfectly fine.

Your name. This is what colleagues see next to your leave requests, comments and records. Enter it as you would like to be addressed.

Your email address. This is also your username for signing in, so changing it changes how you sign in from that moment on.

When you have finished, click Save. Nothing is stored until you do.

Scroll down to Update Password, or click Password in the list on the left.

  1. Type your current password into the first box.

    This is a safety check. It proves it is really you making the change, and not somebody who found your screen unlocked.

  2. Type your new password into the second box.

  3. Type the same new password again into the confirmation box.

    Both must match exactly. Typing it twice is how the system protects you from a typo you cannot see, since the characters are hidden.

  4. Click Save.

You stay signed in. You will need the new password the next time you sign in.

The system is available in over twenty languages. The selector sits in the top bar, showing the current language and its flag — English by default.

Click it and pick your language. The screen changes immediately; there is nothing to save, and the choice is remembered for next time.

This changes only your view. Colleagues keep whatever they have chosen.

The moon icon in the top bar switches between the normal light appearance and a dark one, where the screen is dark and the text is light.

Many people find dark easier on the eyes in a dim room or late in the day. Neither is better than the other, and nothing works differently in either. Click the icon to swap, and the system remembers your choice.

The screenshots in this manual all use the light appearance.

Click your name at the top right, then Log out.

If you signed in on your own device and ticked Remember me, you can simply close the browser and you will still be signed in next time. That is the point of the tick box, and it is safe on a device only you use.
