Your Payslips

Every time you are paid, the system produces a payslip: the record of what you earned, what was taken off, and what reached your account.

Go to Payroll Management → Payslips.

The Payslips screen, with a strip of month tabs across the top, a year filter, tabs for All Generated and Downloaded, and a table listing a payslip with its pay date, net pay and status
  1. Pick the month from the strip of month tabs across the top.

  2. Check the year in the dropdown below, if you are looking for something from a previous year.

  3. Your payslip for that period appears in the table.

  4. Click the eye icon in the Actions column to open it, where you can read it in full and download a copy.

Open a payslip and you will see roughly this shape:

Your details — your name, employee ID, and the period the payslip covers.

Earnings — what you were paid, itemised:

  • Basic salary — your contracted pay for the period
  • Allowances — additions such as transport, meal or housing allowances
  • Overtime — extra hours, where they apply
  • Total earnings — the whole lot added together, before anything is deducted

Deductions — what was taken off. This varies by organization and country, but typically includes statutory contributions and any loans or advances.

Attendance — the days behind the figures: working days in the period, days present, paid leave, and any unpaid days. This matters, because unpaid absence reduces your pay and this is where you can see it.

Net paythe amount that actually reached you. Total earnings minus total deductions. This is the number to compare against your bank statement.

Open the payslip and use the download option to save a PDF. That is what to send when a landlord, bank or embassy asks for proof of income.

The Downloaded tab on the Payslips screen shows which payslips have already been downloaded, which is a quick way to see what you have taken copies of.

Status Means
Generated The payslip has been produced and you can read it
Downloaded You have taken a copy at least once

Check these, in order, before raising it:

  1. Are you looking at the right month? See the caution above — this catches most reports.
  2. Does the attendance section explain it? Unpaid leave or absent days reduce net pay, and the day count is shown on the payslip.
  3. Has anything changed recently? A salary change, a new allowance, or a change to deductions will move the numbers.

If it still looks wrong, contact HR or payroll. Tell them the period, the figure you expected, and the figure shown — with those three things they can usually answer immediately.

My payslip for last month is not there. Payroll may not have been run yet. Ask payroll when it is scheduled.

I need a payslip from before I could log in. Ask HR. Older payslips may predate the system.

Can colleagues see my payslip? No. This screen shows only your own. Payroll and HR staff can see everyone’s, because their job requires it.

Can I get several months at once? Not from this screen — open and download them one at a time. If you need a full year for a visa or a loan, ask HR, who can usually produce a summary.
