Introduction
Welcome. This manual explains how to use Embernxt HRIS, from signing in for the first time through to running a full payroll.
You do not need any technical knowledge to use this system, and you do not need any to read this manual. If you can use email and a web browser, you can use Embernxt HRIS.
What Embernxt HRIS is
Section titled “What Embernxt HRIS is”Embernxt HRIS is your organization’s HR system. It keeps in one place all the things that used to live in spreadsheets, filing cabinets, and email threads:
- Who works here, what their role is, and how to contact them
- Who worked which hours, and who was late or absent
- Who is on leave, who has requested leave, and who still needs to approve it
- What everyone is paid, and the payslips that prove it
- Hiring — the jobs you are advertising and the people who applied
- Performance reviews, goals, and training
- Company equipment, and who currently has it
Because it is a website, there is nothing to install. You reach it through the same web browser you use for everything else, from a computer, a tablet, or a phone.
What it looks like
Section titled “What it looks like”This is the first screen most people see after signing in. Yours will look similar, though what appears in the menu on the left depends on your job.
What you can do depends on your role
Section titled “What you can do depends on your role”Everybody gets an account, but not everybody sees the same thing. The system gives you access to what your job needs and hides the rest. This is deliberate — it keeps the screen simple, and it keeps private information private.
| If you are | You can generally | You will not see |
|---|---|---|
| An employee | Clock in and out, request leave, view your payslips, read announcements, see your own records | Other people’s pay, records, or documents |
| A manager | Everything an employee can, plus approve leave and attendance for your team, and see your team’s records | Records outside your team, most company-wide settings |
| HR staff | Manage employees, run recruitment, handle leave and attendance company-wide, prepare payroll | Depends on what your administrator has allowed |
| An administrator | Everything, including company setup, user accounts, and system settings | — |
How this manual is organized
Section titled “How this manual is organized”The manual is in five parts. You do not need to read all of it. Find yourself in this list and start there.
| Part | Who it is for | Read it when |
|---|---|---|
| Start Here | Everybody | You are new to the system. This is the part you are reading now. |
| For Employees | Everybody | You want to do something for yourself — book leave, check a payslip, clock in |
| For HR & Managers | HR staff and managers | You need to do a complete job, like hiring someone or running a payroll |
| Reference | Anybody | You are on a particular screen and want to know what a button or field does |
| Administration | Administrators | You are setting the system up or changing how it works |
The rest of Start Here covers the three things everybody needs: signing in, finding your way around, and looking after your account.
How to read the instructions
Section titled “How to read the instructions”A few conventions are used throughout, so that instructions stay short:
- Bold text in an instruction is something you can see and click on screen — a button, a menu item, or the name of a field. “Click Save” means find the button labelled Save and click it.
- An arrow like Leave Management → Leave Applications means: click the first thing, then click the second thing inside it. It is a path through the menu.
- “The sidebar” means the menu down the left-hand side of every screen.
- “Click” and “tap” mean the same thing. If you are on a phone or tablet, tap.
