One screen with a list of sections down the left. Choosing a section shows its fields on the right. Each section saves independently — there is no single Save at the bottom that commits everything.

Which sections you see depends on your permissions, so your list may be shorter than the one below.

Company name, timezone, date format, time format and default language.

Your logo, favicon and colours, for the application and the documents it generates.

Worth doing early, and not only for appearance: a system that looks like your organization gets used with less hesitation than one that still shows the vendor’s branding.

How the system sends mail. Without it, nothing that notifies anybody works.

Field What it is
Mail Driver Usually smtp.
SMTP Host and Port Your mail server. Port 587 with TLS is the common pairing.
SMTP Username and Password The credentials for that mailbox.
Mail Encryption TLS or SSL, matching the port.
From Address What recipients see the mail coming from.
From Name The display name on the message.

Which days of the week are working days.

This underpins attendance and leave. If Saturday is a working day for you and the system thinks otherwise, every attendance and leave calculation is wrong from the first day.

Set it before any attendance data exists.

Restricts sign-in to particular IP addresses or ranges — for tying access to the office network.

Three sections define letters the system produces. Each holds template wording with placeholders filled in from the employee’s record.

  • NOC Settings — No Objection Certificate templates.
  • Experience Certificate Settings — service confirmation letters, for employees who have left.
  • Joining Letter Settings — the letter issued to new starters.

Connects a ZKTeco biometric device — a fingerprint or card reader — so clock-ins come from the device rather than the browser. Needed by Biometric Attendance.

If you have no such device, ignore this section.

Payment gateway configuration. Only relevant where your deployment takes payments; most internal HR deployments do not.

Where uploaded files are kept — local disk or a cloud provider.

Adds a challenge to public-facing forms — the login page and the careers page — to reduce automated abuse. Worth enabling if either is reachable from the internet.

Connects an OpenAI API key to enable AI-assisted text generation where the application offers it. Optional; the system works without it.

Controls the cookie consent banner shown to visitors.

Page titles, descriptions and metadata for the public-facing pages — the landing page and careers page. It has no effect on the internal application, which search engines cannot reach.

Clears the application cache and shows its current size.

The default currency and how amounts are formatted — the symbol, its position, and decimal places. Governs how money is displayed throughout the system.

Distinct from Currency Settings above: this screen defines which currencies exist; that section chooses which one is the default and how it is formatted.

The wording of the messages the system sends — welcome mail, leave decisions, interview invitations and the rest. Each template can be edited, and can usually be switched on or off.

  1. System Settings — company name, timezone, date and time format.

  2. Brand Settings — logo and colours.

  3. Currency Settings — the default currency and its format.

  4. Email Settings — configure it, change the From Name, and send the test message. Confirm it arrives.

  5. Working Days Settings — before any attendance exists.

  6. Document templates — NOC, Experience Certificate, Joining Letter, checked by whoever is responsible for them.

  7. Email Templates — read them and fix the wording.

  8. Optional integrations — ZKTeco, ReCaptcha, storage, payments, as needed.

  9. IP Restriction Settings — last, and only with a second administrator testing from elsewhere.

A setting will not save. Check for a required field flagged in red, and check you have permission for that section. Sections save one at a time.

Nothing is being emailed. Email Settings, then Send Test Email. If the test arrives but notifications do not, check Email Templates — the individual template may be disabled.

A change is not showing. Clear the cache in Cache Settings.

Which settings can I change safely while people are working? Brand, email templates and document templates are low risk. Timezone, working days, storage and IP restrictions affect data or access — do those out of hours.
