Requesting Leave

Booking time off is a two-step habit: check what you have left, then request it.

Go to Leave Management → Leave Balances.

Your card lists every kind of leave you are entitled to, with three numbers each:

Column Means
Total Your full allowance for the year
Used Days already taken or approved
Available What is left — this is the number that matters

The types depend on your organization’s policies, but commonly include Annual, Sick, Maternity, Paternity, Emergency and Bereavement leave. The small beside each row explains how that allowance works.

Go to Leave Management → Leave Applications.

  1. Click Add Leave Application, the orange button at the top right.

  2. Choose the leave type — Annual, Sick and so on. Pick the one that genuinely fits: it comes out of that specific balance, and using the wrong one is awkward to unpick later.

  3. Choose your start and end dates.

    For a single day, set both to the same date. The system counts the working days between them, so a Friday-to-Monday request is two days of leave, not four — weekends and company holidays are not deducted.

  4. Give a reason. How much detail is expected is up to your organization, but a line is normally enough. Whoever approves it will read this.

  5. Attach a document if one is needed. Sick leave beyond a certain length often requires a medical certificate. If your policy asks for one, attach it now rather than being asked for it later.

  6. Click Save or Submit.

Your request appears in the Pending Leaves tab and on the calendar, and goes to your manager or HR for a decision.

Your request will end up in one of three states:

Status Means What to do
Pending Waiting for a decision Nothing. Chase it in person if it is urgent.
Approved Booked Nothing. The days come off your balance and show on the calendar.
Rejected Declined Look at the Rejected Leaves tab — the reason is usually recorded there. Talk to your manager before resubmitting.

The calendar strip near the top of Leave Applications shows the month with leave marked on it, colour-coded by type using the legend above. Move between months with the arrows either side of the month name.

Depending on your permissions this may show your team as well as you, which is useful for spotting weeks that are already thin before you request time off.

While a request is still Pending, you can usually delete it from the Actions column and submit a corrected one.

Once it is Approved, you generally cannot undo it yourself — ask your manager or HR. Approved leave has already been deducted from your balance and may already have reached payroll.

How many days will this actually use? Working days between your two dates. Weekends and company holidays are excluded automatically.

Can I request half a day? Only if your organization has enabled it. If you do not see the option, it is off — ask HR.

Can I request leave for last week? Yes, the dates can be in the past. This is normal for sick leave, which you rarely book in advance.

My balance looks wrong. Check the Year filter first. If it is still wrong, tell HR: balances are recalculated when policies change, and a new employee or a new policy needs a re-sync to take effect.

I have no balance left but I need time off. Talk to your manager. The system may still accept the request, but it will likely be unpaid — which affects your payslip.
